An important step in securing your office is
developing an Acceptable Use Policy (AUP) for
staff.
AWC Consulting will develop an AUP for your
company, and help staff with understanding the
policies. The typical steps for developing an
AUP with AWC Consulting include the following:
- Present AUP templates with management for
review.
- Review the intent of the document with
management to ensure understanding.
- Incorporate any changes or additions to AUP
addressing specific company needs and concerns.
- Distribute AUP to staff for review.
- Answer any questions to staff regarding AUP to
ensure staff understanding.
- Require every employee to read and sign a copy
of the AUP to acknowledge they have read and
understand the document. This signed copy is
filed with staff records for safekeeping.
- Set date where AUP will be in effect at
staff. Any staff that have not signed a copy
of the AUP can not use computer equipment after
this date.
- Review AUP compliance occasionally to ensure
successful implementation.
AUPs define appropriate use of computer equipment
at your company. Such policies guide staff in
the proper way to deal with computer technology.
A clearly understood (and readily available for
reference) AUP helps staff understand what they are
allowed to use office computer equipment for.
Examples of issues covered in an AUP include:
- Use of company Email for personal Email is
limited to certain times of day. (For
example, staff can read, send and reply to
personal Email messages during their lunch break
only. Ensuring their time is spent during
paid time performing office tasks.)
- Web browsing to non-work related sites is
limited. Access to offensive, sexually
explicit, etc., sites is banned at all times.
- Any message sent from a company Email must
conform to appropriate language and image.
(No defamatory comments, inappropriate language,
sexually explicit, etc.)
- Prohibit installing unauthorized applications on
workstations. Common programs banned include
music sharing programs and instant messaging
clients.
Implementing an AUP in a sensitive and practical
manner is critical to its success. An AUP can
seem overbearing and restrictive unless staff
understand the importance and reason behind the
AUP. Staff must understand an AUP provides a framework
for disciplinary issues if recommended policies are
not followed.
